How to Stream Webinar on YouTube with Proficonf

Hosting webinars on Youtube via Live streams has become a popular experience. This tool is used for business development, product or service familiarization, master classes, educational events, or answering audience questions.

Four steps before the webinar

Before you go on air and start your webinar, you have to be well prepared. That means you have to decide on the theme of the webinar, create a memorable presentation, select the optimal time and date, choose a platform for the webinar and host a test either.

Step 1. Select a webinar theme

When choosing a theme, it has to be relevant, not trivial –  everyone says and I say, meet the needs of the target audience, you have to say something about it.

Step 2. Create a Memorable Presentation

In addition to choosing a theme for a webinar and creating a plan that will help you to convey the highlights, you need to create a great presentation. A good presentation will help to highlight the topic of the webinar. Don’t forget to fill the presentation with high-quality content, select images and illustrations.

Step 3. Select optimal time

The timing of your webinar is important for its success. Think about your audience and make sure that the timing is convenient for most.

Step 4. Set up the webinar stream

This could be a Live stream to Youtube using a laptop webcam or a computer. Also a special program for webinars with the possibility to broadcast live on Youtube and other platforms. 

Decide on the platform for your webinar and perform a test broadcast beforehand.


How to stream webinar on Youtube with a webcam

Stream Webinar on Youtube simply – you need to create an account on, go to YouTube Studio and create a stream. After that, the audience will see you Live. Only registered users can write comments in the chat, you can demonstrate your screen. Unfortunately, to show a presentation, different files, aboard for joint work won’t be possible.

But what if you have prepared a great presentation, or if there are several speakers on the webinar and each has its own presentation?

How to Host a Live Webinar on Youtube with Proficonf

To organize the webinar in Proficonf, the host needs to register, create a webinar room and invite participants.

It is sufficient for any popular browser to go to, press the “Sign Up” button, fill in the fields in the registration form or authorize with social networks.

After registration, you will be redirected to the event page where you need to press the “Upgrade” button, select the Plan, and add Live Streaming.

To create your first webinar, press the “Schedule” button, you will be directed to the page with the event creation form:

  • Enter the name of the webinar.
  • Activate the permanent room if necessary.
  • Select the date and time of the webinar.
  • Select the role of the participants: viewers.
  • Select the type of access (private or public).
  • Turn on the automatic recording, it will allow you not to worry about opening the record at the beginning of the webinar.
  • Add the redirection link for the participants after the webinar is complete.

This is a powerful tool that will help the audience to get better acquainted with your offer after the end of the webinar.

Click the “Create” button.

The newly created webinar will be displayed in the “Upcoming” section of the events page.

If you want to edit or delete a webinar room, click the three-point button to the right of the name and select the appropriate item.

Let’s go to the webinar room and see how it works.

On the left, you will see a list of participants in which the organizer of the webinar can control the participants: block, remove, change the role, restrict chat.

A chat in which the organizer or moderator can delete all messages or one at a time, also to turn off the chat for all participants.

In which you can:

  • Display a screen, a program window or a browser tab. 
  • Draw something on the drawing board and demonstrate to the participants.
  • Display the materials on the Miro board.
  • Share a Youtube video. Simply write the title of the clip or insert a link, click the “Share” button. The video will be shown in sync with all participants.
  • Download, display any material in the Files section. You can download files before and during the webinar.

At the top in the middle of the webinar room are microphone and camera buttons, the exit button from the event room.

To invite participants, press the “Invite participants” button, copy the link in the opened menu and send it to participants in any convenient way.

Or click “Invite” in the section to invite by email, enter email addresses and add them to the list. Select a role for participants: viewer.

Press the “Invite” button.

If you have a separate document with the list of participants and their personal data, you can select the entire text by pressing Ctrl+A and copy it into the input field. The Service will select only email addresses.

On the right is the record button where you can:

  • Show only my video.

To start the recording, press “Start Recording”.

The Live streaming activation button is located to the right of the record button. You can stream your webinar to any of these social networks and connect an unlimited number of viewers.

You can set different modes in the stream menu:

  • Show chat.
  • Show participants thumbnails.
  • Show only my video.

After you enter the Server URL and Stream Key, click the “Add streaming server” button.

To start the stream, press the “Start Streaming” button.

Important information: the settings for the stream server are saved automatically for the web room in which you created it. You can select and configure a streaming server for any social network in advance.

If you have multiple speakers at the same time, you are advised to switch the display mode to the Tile Grid. If there’s only one presenter, select Active Speaker.

Active speaker – is the mode, the active participant is displayed on the home screen. Up to 5 thumbnails from the videos of the most active participants are displayed on the right. The active participant is the participant who is currently speaking.

Tile grid – up to 20 thumbnails of participants’ videos are displayed, the list is dynamically changed and the most active participants are displayed. 

And at the very end, the “Settings” button of the webinar room:


In the configuration menu you can select a camera and microphone, configure the quality of the transmitted signal, change the language.

To complete the webinar, click the red phone button at the top of the screen and select the “Stop the meeting after your exit” option.

How to create streaming on YouTube

Do not close the browser tab and go to Youtube to create and process the stream, as well as copy the Server URL and the Stream Key.

Log in to your Gmail account to configure your Youtube account.

Then click “Youtube Studio”.

If you don’t already have your own channel, you need to create an account to get permission to go live. Enter your name and surname. Then click the “Create Channel” button.

Once you have created a channel, or if you already have a channel, you will go to the “Channel dashboard” page.

Click the “Create”, and then “Go Live” button.

If you have just created a channel, you will need to confirm the account, follow the instructions. Select your country and enter the code you received. Confirm the account.

That means you have to wait 24 hours for your account to be confirmed. 

Once your account is confirmed, and if you have a confirmed account, go to the “Stream” section and create a “New stream”.

Fill in the blanks, select the settings and click “Create Stream”.

If you have scheduled a webinar for a certain date and time, activate the “Schedule for later” option and select the date and time for the stream.

Next, you will be moved to the section “Stream Settings”.

Copy the Server URL and the Stream Key.

Go to the Proficonf Webinar Room, insert the Server URL and the Stream Key, click the “Start Streaming ” button.

Then return to the YouTube Streaming tab and you will see a Preview screen.

To start streaming, press the “Go Live” button.

To stop streaming, click on the “End Stream” button on Youtube. 

Go to the Proficonf Webinar Room and click the “Stop Streaming” button.

The list of participants you have invited to the webinar room can be downloaded after completion of the webinar in the section “Completed”.

To the right of the name of the event, click on the three-point button, select “Download list of participants” from the menu. In the list – name, surname and email, is uploaded in the format of a CSV spreadsheet. 

Please note:  Participants should be invited by email to be displayed in the list of participants.
